Business Support Specialist II

Business Support Specialists (BSS's) work in diverse departments such as Payroll, Accounts Payable, Treasury, Collections, Customer Billing, Sales, Facilities, and Operations.
The primary duties of the Business Support Specialists (BSS's) are to provide back office and administrative support.
Duties are dependent on the department in which the BSS works in, and may include tasks such as reconciling of data, processing, completing financial transactions like internal credit card expenditures, vendor payments, customer refunds, preparing and processing company-wide payroll, running customer billing statements, auditing customer billing information to ensure accuracy, processing of customer payments andcollecting on delinquent customer accounts.
May perform some duties of BSS I's.
Transport supplies and other materials from vendors to Company locations, requiring driving a Company vehicle.
Receive and review departmental bills.
Prepare, process, and track check requests for departmental bills.
Verify availability of fundsand assign appropriate codes.
Process invoices for payment and resolve discrepancies in monthly budget reports.
Research, collect, compile, interpret, and summarize data, computer statistics, other information from varied source materials for use inreports, special projects, and transaction summaries for internal and/or external department use.
Compose, format, verify, and edit and produce a variety of correspondence, documents, or reports.
Set up and maintain manual or electronic spreadsheets and reports of documents processed.
Assist in the preparation of the department's annual operating and capital budgets.
Track actual expenditures and prepare monthly variance reports.
Maintain a master calendar of department activities.
Schedule meetings and appointments for department staff as directed.
Schedule conference rooms, coordinate meeting arrangements and assemble meeting materials as requested.
Coordinate travel arrangements to include flight reservations, tickets, ground transportation, hotel accommodations, and travel authorizations.
May open, track, close, reconcile and make adjustments to work orders, as well as processing invoices for charges associated with those workorders.
Filing and auditing of files to ensure SOx requirements are met as well as department procedures followed.
May process complex documents, orders, or requests requiring detailed knowledge of departmental activities, software applications, and procedures to interpret information and comply with department standards (e.
g.
warehouse materials requests.
)May schedule and coordinate cable locate per Field Supervisor(s) request.
May process building security access requests, including reporting and troubleshooting as necessaryMay submit requests for work permits from various government departments in accordance with local and state laws, as well as order and track traffic control devices as requested by Field Tech(s) and/or Field Supervisor(s).
May serve as a point of contact for third-party vendors, which could include contractors, security, and janitorial staff.
May maintain department personnel and confidential files to include payroll, vacation, and sick leave records.
Verify and process timesheets and employee expense reports.
Prepare and distribute miscellaneous reports as required for management and outside agencies.
Perform other duties as assigned.
Minimum QualificationsHigh school diploma or equivalent; minimum of two (2) years of proven experience in the functional area you will be working in (e.
g.
Customer Service, Operations, Engineering, Billing, Collections, Payroll, Accounts Payable, Treasury) Proficient with Microsoft Word, Excel, and Outlook.
Excel experience must include the creation of spreadsheets.
Certifications and Licenses RequiredPossess and maintain a valid Alaska Driver's LicenseAdditional Job RequirementsBSS II and above are required to pass a typing test with a net score of 45 words per minute.
Tests completed within the past 12 months from the date of application will be accepted.
Internal applicants serving as BSS II's and above are expected to have proven keyboarding and are not required to provide test results if already serving in a classification that requires a typing test with a net score of 45 words per minute or more.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
